The Role

You are the first person a job seeker speaks to. Most arrive with questions about documents, timelines and cost, and many have been given wrong information elsewhere. Your job is to explain what the process involves, what we handle, what we don't, and then manage that person's case through to their first day at work.

The work involves:

  • Running first calls with jobseekers by phone, video and in person, and assessing what they are suited to
  • Explaining our services, the documents an employer requires, and the actual order of steps
  • Checking documents for gaps before a file moves to the recruitment team
  • Owning your caseload in the CRM so every open case has a named person responsible for it
  • Following up during waiting periods, before the candidate has to chase
  • Escalating anything that looks wrong in a document, an employer request or a promise a candidate believes they were given
  • Stating clearly at every stage that we support the permit process, we do not guarantee an outcome, and we take no fee from a worker

What We're Looking For

Must-Have

  • 2 or more years in client-facing work: counselling, admissions, migration services, customer support or recruitment
  • English and Polish, both spoken and written, at working level
  • The ability to deliver a refusal or a delay clearly, and stay in the conversation afterwards
  • Case discipline. You can hold fifty open files without losing one, and your notes are readable by the next person
  • You do not soften the truth to close a conversation. When a candidate pushes for a guarantee, you hold the position
  • Right to work in Poland

Nice to Have

  • A third language: Hindi, German Russian, Ukrainian, Romanian or Spanish
  • Experience with work permits, student admission or visa documentation
  • Daily CRM caseload experience rather than occasional use
  • Personal experience of relocating, studying or working abroad

How We Work

The Warsaw office works on-site. Client Services sits with recruitment and partnerships, so cases move between desks in the same room rather than by email. You will carry your own caseload from day one, with a senior consultant reviewing your first files.
